Everything you need to manage your church's finances with confidence
Seeds is a secure, cloud-backed financial management platform built for churches. As an officer, you use Seeds to record tithes, track weekly income and expenses, manage members, and generate financial reports — all from any device with a browser.
🌐 Accessing Seeds
Open any web browser and navigate to seedsfinances.com. No app download is required. Seeds works on desktop, tablet, and mobile.
📋 What You Need Before You Start
Your church administrator will provide you with:
Username — your unique login name (e.g. aowusu)
PIN — the last 4 digits of your registered phone number
Church slug — used in the URL (e.g. seedsfinances.com/?church=ascension)

Bookmark your church URL
Save seedsfinances.com/?church=yourchurch as a bookmark. Going directly to this URL takes you straight to your church's login screen without having to select from the list.
The login process is two steps: first your username, then your PIN. Here's exactly what to do:

Go to your church URL
Navigate to seedsfinances.com/?church=yourchurchname or visit seedsfinances.com and click Church Login, then select your church from the dropdown.

Click "Officer"
On the Welcome Back screen, you will see two cards — Member and Officer. Click the Officer card to begin officer sign-in.

Enter your username
Type your username in the field provided. You can use the keyboard — press Enter or click Continue → to proceed. If your username is not found, check with your administrator.

Enter your 4-digit PIN
Your PIN is the last 4 digits of your registered phone number. Use the on-screen numpad or your keyboard number keys. After entering all 4 digits the system logs you in automatically — or press Enter / OK.

You're in!
The dashboard loads with your name and role shown in the top bar. Your session is remembered — next time you visit, you'll be logged straight in automatically.

Incorrect PIN?
Double-check you're using the last 4 digits of the phone number you registered with. If you're still locked out, ask your Admin officer to verify or update your phone number in the Members list.

Auto sign-out after 5 minutes
Seeds will automatically sign you out after 5 minutes of inactivity. At 4 minutes 30 seconds a warning toast appears at the bottom of the screen — click Stay signed in to continue your session.
Seeds has four officer roles. Each role controls which tabs and features are visible to that officer. Your role is shown in the top bar after login.

Don't see a tab?
If a section like Audit Log or Manage Users isn't visible in your nav bar, your role doesn't have access to it. Contact your Admin officer if you need elevated permissions.
The Dashboard is your home screen. It gives a live overview of the church's financial position for the selected week.
📅 Week Selector
Use the Week of dropdown in the top-right of the Dashboard to switch between Sundays. The current week is selected by default.
💰 Summary Cards
Four cards show: Total Income, Expenses, Net, and vs Prev Week (percentage change). Green means up, red means down.
📋 Weekly Income & Expense Breakdown
Each income type (Tithe, Special Offering, YPG, Rentals, etc.) is listed with its total. The Expense panel shows all expense categories for the week.
📈 4-Week Summary
A table showing the past four Sundays side by side — Tithe, Other Income, Total Income, Expenses, and Net — to track trends at a glance.
The Members tab is your directory of all registered church members. From here you can add, view, edit, and delete members.

Adding a New Member
Click + Add Member. Fill in the member's name, membership number, phone number, date of birth, day born, and address. Click Save. The member is immediately available for tithe recording.

Editing a Member
Click on any member row to open their profile. Click Edit to modify their details. Click Save to confirm. Changes sync to the database immediately.

Deleting a Member
Open the member's profile and click Delete (visible to Admin and Finance Officer roles only). Deletion is permanent — all their tithe history is preserved in the records.

Member PIN = Last 4 digits of phone
Members log into their own portal using their membership number and the last 4 digits of their registered phone. Make sure their phone number is entered correctly.

Bulk Import
Use the Import Members button to upload a CSV file with multiple members at once. The CSV should have columns: Name, Number, Phone, DOB, Dayborn, Address.
The Sunday Services tab lets you record the occasion, preacher, and notes for each Sunday service. This data appears in your financial reports and helps contextualise income peaks (e.g. Harvest Sunday).

Select the Sunday
Use the Week of dropdown to pick the Sunday you are recording for.

Enter service details
Fill in the Occasion (e.g. Harvest, Thanksgiving, Ordinary Sunday), Preacher name, and any Notes.

Save
Click Save Service Details. The record appears in the history table below and is saved to the cloud immediately.
Past service records are shown in the Service History table at the bottom, sorted most-recent first. You can delete individual records if needed (Admin/Finance Officer roles).
Use the Record Tithe/Offering tab to log individual tithe and offering contributions by member.

Search for the member
Type the member's name or membership number in the search box. The matching member appears below — click to select.

Fill in the record
Enter the Date, Amount, Type (Tithe, Special Offering, etc.), and an optional Note.

Save the record
Click Save Record. The entry is added to the member's giving history and to the weekly income totals on the Dashboard.
📜 Today's Entries
All records entered today appear in the Today's Entries panel on the right. You can edit or delete any entry from here (subject to your role permissions).

Deleting records
Deleted tithe records cannot be recovered. Every deletion is logged in the Audit Log with your name and timestamp.
This tab records all non-tithe income for the week — things like rentals, welfare contributions, YPG, Junior Youth, VTO, and other special income streams.

Select the week
Use the Week of dropdown to choose the correct Sunday.

Enter income rows
For each income type, enter the Category and Amount. Click + Add Row to add more lines.

Save
Click Save Income. The totals update immediately on the Dashboard for that week.
The Income History panel shows all previously saved weeks. Click any row to load and edit that week's data.
The Weekly Expenses tab works identically to Weekly Income but records outgoing payments — staff salaries, utilities, security, maintenance, catering, and other costs.

Select the week
Choose the correct Sunday from the Week of dropdown.

Enter expense rows
Add each expense with its Category and Amount. Click + Add Row for additional lines.

Save
Click Save Expenses. The Dashboard expense total and Net figure update immediately.

Net = Total Income − Expenses
The Net figure on the Dashboard is calculated automatically once both income and expense data have been saved for the week.
The Reports tab generates printable financial summaries for any date range. All four officer roles have access to Reports.
📅 Weekly Report
Select a specific Sunday to generate a full weekly breakdown — tithe by member, other income by type, expenses by category, and net position. Suitable for weekly church board presentations.
📆 Date Range Report
Choose a start and end date to generate a multi-week consolidated report. Useful for monthly, quarterly, or annual financial reviews.
👤 Member Statement
Select an individual member to see their full giving history, yearly total, and breakdown by type. Members can also download their own statement from the Member Portal.

Select the report type and date range
Use the dropdowns at the top of the Reports tab.

Click Preview Report
The report renders on screen for review.

Print or Save as PDF
Click Print Report. In the print dialog, choose Save as PDF to get a digital copy.
The Audit Log is available to Admin role only. It provides a full chronological record of every action taken in Seeds — who did what, and when.
📋 What is logged
Every significant action is recorded:
• Tithe records added, edited, or deleted
• Member profiles created, updated, or removed
• Weekly income and expense saves
• Service details saved
• User management changes
• Bank account updates
• Login events
Each log entry shows the timestamp, officer name, role, action type, and a detail summary. The log cannot be edited or deleted — it is a permanent tamper-proof record.

Handle with care
The Audit Log is confidential. Do not share screenshots of the log outside the church leadership without authorisation.
Several settings buttons appear in the top bar depending on your role.
🏦 Banks Admin · Treasurer
Manage your church's bank accounts and configure how weekly net income is allocated across accounts (e.g. 70% Main Account, 20% Building Fund, 10% Welfare). Allocations are used in weekly financial reports.
👥 Users Admin only
Add, edit, or remove officer accounts. Each user requires a unique username, a role, and a phone number (last 4 digits become their PIN). Changes take effect immediately.
💬 SMS Admin · Finance Officer
Configure Twilio SMS settings to send tithe acknowledgement messages to members after their contribution is recorded.
🔗 DB Admin · Finance Officer
View or update the Supabase database connection credentials. Only modify this if instructed by your system administrator — incorrect credentials will disconnect the app from the database.
📦 Migrate Data Admin only
If you have existing data stored in browser localStorage from an earlier version of Seeds, use Migrate Data to push it to the cloud database. This is a one-time operation.
🔐 Keep your PIN private
Never share your PIN with other officers. If you believe your PIN has been compromised, ask your Admin to update your phone number in the Members/Users section.
⏱️ Sign out when done
Always click Sign Out when you finish your session, especially on shared devices. Seeds will also auto-sign-out after 5 minutes of inactivity.
🖥️ Use trusted devices
Avoid logging into Seeds on public computers (libraries, internet cafés). Your session is remembered between browser visits on private devices — use private/incognito mode on shared computers to prevent this.
✅ Verify entries before saving
Double-check amounts and member names before clicking Save. While records can be edited, every change is logged in the Audit Log with your name attached.
📱 Mobile use
Seeds works fully on mobile browsers. The PIN numpad is optimised for touch. For best experience on mobile, add the page to your home screen as a shortcut.

For technical issues, contact your church's Seeds administrator. For login problems, your Admin officer can reset your credentials from the Users panel.
